Spam Filter - Overview

The Domaintechnik.com Spam Filter consists of three filter stages and allows for absolutely reliable filtering of unwanted messages without the, otherwise usual, risk of loosing required messages by mistake.

In the Control Panel the Spam Filter is a component of the Email Manager and can be configured for each mailbox individually. You can find the Spam Filter after clicking on the mailbox to be configured, under the link Anti Spam Configuration.

Even without having access to the Control Panel, the Spam Filter can be reached by a mailbox user via the Webmail login. Therefore you have to click on the link Mailbox Manager either at the Webmail login screen, or after logging in, and then click on the link Anti Spam Configuration.


Spam Filter - Summary of Features

The Five Filter Stages in Detail:

  • First Filter Stage
    In the first filter stage our filter system checks if the sender of the email has a valid reverse DNS entry. At the same time, the MX entry of the sending domain is checkt if an "IN A" entry exists. This "IN A" entry must be available, otherwise error messages would not be able to be delivered to the specific server.


  • Second Filter Stage
    During this stage, messages that have been sent from an already known spamserver, are filtered. The lists of known spamservers are updated hourly by Domaintechnik.com.


  • Third Filter Stage
    This step includes a check if the sending server respoinds with a correct HELO/HELO, and whether or not the sending email contact is correct.


  • Fourth Filter Stage
    At this stage, a procedure called "Greylisting", which is a mixture between Whitelisting and Blacklisting, is applied. According to the email protocol, the sending mail server is requested to send the message again, whereby most spam-mass email programs fail to do so, and abort sending. Since this is a very strict expulsion process we have modified rules contrary to other providers. Therefore we are able to guarantee maximum compatibility to badly configured posting email servers, so that in no case, any messages desired by you, are lost.


  • Fifth Filter Stage
    The third filter stage is the part of our Spam Filter System which can be configured in the Domaintechnik Control Panel, free of any charges. There are several filter categories and, if required, you can add contacts to your own Whitelist and/or Blacklist.



Advantages of the 4 Stage Filter System

By simultaneously applying four fundamentally different systems with a very small threshold for filtering, we reach a very high success rate.

Additionally however, we can be sure that our customers do not lose any messages, since every single filter only filters messages obvious for that specific filter, and thus, the error ratio is heading towards zero.


Spam Filter - Configuration Options


Activating the Anti SPAM Filter for a Mailbox

The spam filter can be activated, correspoinding to the subsequent rules, byselecting yes under "Enable Anti-SPAM for this mailbox", in the anti spam filter manager. If the filter is being deactivated with a click on no, all chosen settings will be reset, and will have to be entered once again, when reactivating the filter.


Emails Which Are Spam with Very High Probability

In this section, messages which, based on internal rules, contain a lot of indications of being spam, can be treated as follows:

  • delete immediately
    Thus all messages of this category will be, automatically and without any further notice, immediately deleted.
  • ´
  • forward to
    With this option selected, messages will be forwarded to a specified email address. After the messages have been forwarded, you can determin whether the filtering was accurate, or if the settings have to be adapted. You can select any destination email address (internally, for the same domain, or externally).

  • save in the mailbox
    The message is not deleted, but instead, stored in your mailbox. An appropriate hint will be added in the message header to identify the email as spam.



Emails Which Are Spam with High Propability

Messages classified here contain less indicators than those of the category mentioned above, but still enough to be sufficiently marked as spam. Also for this category, the following options are possible:

  • delete immediately
    Thus all messages of this category will be, automatically and without any further notice, immediately deleted.

  • forward to
    With this option selected, messages will be forwarded to a specified email address. After the messages have been forwarded, you can determin whether the filtering was accurate, or if the settings have to be adapted. You can select any destination email address (internally, for the same domain, or externally).

  • save in the mailbox
    The message is not deleted, but instead, stored in your mailbox. An appropriate hint will be added in the message header to identify the email as spam.



Emails Which are Probably Not Spam

Messages classified in this category do not have any, or not enough, indicators of being spam, so that they probably are normal, desired messages. For this category there are some options possible as well:

  • forward to
    The message is forwarded to a specific email address. You can select any destination email address (internally, for the same domain, or externally).

  • save in the mailbox
    The message is saved normally in the mailbox.


  • Reliable Senders (Whitelist)

    Into this text field you can enter sender email addresses, that are not to be filtered, even if several indicators would define the content as spam. This is helpful, if e.g. newsletters are banned by the Spam Filter.

    • enter sender email addresses
      Only one email address per line can be entered. Additionally you can use * as wildcard in order to set up a more general rule, e.g. *@domaintechnik.at accept all senders of domaintechnik.at or, office@firm.* accepts messages from this address whether it has .at, .de, .com or any other ending.


    Blocked Senders (Blacklist)

    Into this text field you can enter sender email addresses, that are to be filtered, whether the message is identified as spam or not. This allows e.g. automatic banning of freemail services and/or suspect offerers.
    • enter sender email addresses
      The addresses can be entered as mentioned above for the whitelist. The use of * as wildcard is also possible, but should be used with maximum caution in order to prevent unintentional loss of messages.
